Takedown Request Guide
A takedown is the deliberate removal of one or more records from your Synchtank platform — whether individual tracks, albums, or an entire catalogue. All takedowns are carried out by the Synchtank team on your behalf.
This guide explains what information you need to provide and how to submit your request correctly.
Important: Takedowns are irreversible. Once records are removed, they cannot be undone without a full re-ingest of the original content. Please make sure your request is complete and accurate before submitting.
What Can Be Removed
A takedown request can cover:
- Individual tracks — one or more specific track records
- One or more albums — including all tracks within those albums
- An entire catalogue — all albums and tracks
- A combination of the above
Before You Submit a Request
Please confirm the following before submitting your takedown request. Having this information ready will help us process it as quickly as possible.
| What to confirm | Details |
| Scope | Which specific tracks, albums, or catalogues should be removed |
| Level of removal | Tracks only, albums only, or both — and whether the catalogue record itself should also be removed |
| IDs | The Synchtank-assigned IDs for the records to be removed. These are not track titles or ISRC codes — they are the system IDs assigned by Synchtank. |
| Written confirmation | Confirmation of the request in writing, including the reason for removal if relevant (e.g., expired licence, rights dispute) |
Tip: Synchtank IDs can be found via the platform's export or search results. If you are unsure how to locate them, contact us before submitting, and we can help.
How to Submit a Takedown Request
All takedown requests must be submitted using the Library Catalog / Data Change Request form: https://pages.synchtank.com/support-site/create-a-ticket
When completing the form, please include:
- The scope of the takedown — which tracks, albums, or catalogues
- The Synchtank-assigned IDs for the records to be removed
- The level of removal required (tracks only, albums, catalogue)
- Any relevant context — such as the reason for removal or an expiry date
The more detail you provide upfront, the faster we can process your request. Incomplete requests may require follow-up before work can begin.
What Happens After You Submit
Once your request is received, here is what to expect:
- The Synchtank team will review your request and confirm the scope with you if anything needs clarification
- We will carry out the removal on your behalf, working through tracks, then albums, then catalog if applicable
- Once the removal is complete, we will confirm and close the ticket
- We recommend searching for the removed records on your platform to verify they are no longer visible
Please do not assume the takedown is complete until you receive confirmation from the Synchtank team. Always verify in the platform after we confirm.
Typical Timelines
These are realistic estimates based on scope. Timelines may vary depending on catalogue size and whether any issues need investigation.
| Scope | Typical time | Notes |
| Small batch (under 50 tracks) | 15–30 minutes | Faster if IDs are already prepared |
| Single album + tracks | 30–60 minutes | Depends on track count |
| Multiple albums (3–10) | 1–2 hours | Includes verification between stages |
| Full catalogue | 2–4 hours across one or two sessions | Larger catalogues may require multiple sessions |
Frequently Asked Questions
Can we reverse a takedown after it has been completed?
Not through standard tooling. Once records are removed, they cannot be restored without re-ingesting the original content. This is why we ask for written confirmation of scope before beginning any work.
Can we submit a takedown request without the Synchtank IDs?
We strongly recommend including IDs in your request. Takedowns are processed using Synchtank-assigned IDs — not track titles or external identifiers. If you are unable to locate the IDs, contact us before submitting and we can help you find them.
How will we know when the takedown is complete?
The Synchtank team will confirm via the support ticket once the removal is complete. We recommend also searching for the removed records on your platform to verify they are no longer visible.
What if we need to remove content urgently?
Please note the urgency in your request form and contact your Synchtank account manager directly. We will prioritise accordingly.
Do we need to do anything on our end during the takedown?
No. The Synchtank team handles the full removal process on your behalf. You just need to provide the correct scope and IDs upfront, and confirm once we let you know it is complete.
