What is the Reports section?
The Reports section is found in the left-hand navigation of the Synchtank Admin. It allows you to generate, schedule, and download reports based on your catalog data and system activity.
How do I access Reports?
There are two ways:
- Via the Reports section — go to Admin → Reports
- Directly from Catalog and other sections — many sections including Masters, Albums, Artists, Compositions, Productions, Playlists, Contracts, Metadata, and Users have a New Report button. Clicking it will automatically prep the report type based on the section you're in.
What types of reports are available?
Report types are available for most sections of the platform — including catalog data, metadata, users, and more. The available fields and filters change dynamically based on the report type selected, so each report type exposes different columns and filtering options.
How do I create a report?
- Go to Admin → Reports and click the green Create button
- Select the report type
- Give it a title (the system provides a default)
- Apply any filters — such as date ranges, artist, catalog, ISRC, or metadata filters
- Click Save to generate the report
- Wait for the status to update to ready, then download the file
How long does a report take to generate?
It depends on the size of the report. It can take a few minutes — you can monitor the status from the Reports dashboard and download it once it shows as ready.
Can I schedule reports to run automatically?
Yes. Go to Admin → Reports → Scheduled Reports. From here you can set up reports to run daily or weekly and have them sent to you by email. This is useful for tracking system activity such as user sign-ups.
What are Data Templates?
Data Templates allow you to customize which fields are included in your reports and in what order. Instead of always exporting all available fields, you can create templates that include only the data you need.
Benefits of data templates:
- Export only the data you need
- Customize the data format and field order
- Control which users have access to specific templates
- Import updated data back into the system
- Download data directly from playlists on the front-end
How do I create a Data Template?
- Go to Admin → Reports → Data Templates and click Create
- Select the fields you want to include and reorder them as needed
- Choose how many writers to include data for
- Enable the Import setting if you want to use the template for re-importing data
- Click Save
How do I share a Data Template with specific users?
Go to the user's page, click Edit, select the desired data template from the dropdown, and save. This controls which templates each user can access.
Can I use Data Templates with Playlists?
Yes. When data templates are enabled on the front-end for playlists, a Download Data button appears. Users can select a template and download a spreadsheet with the specified data for the playlist's tracks.
Which report fields can be imported back into the system?
In the report configuration screen, fields marked with a special import icon can be edited and re-uploaded into the system during bulk editing via Import Tools.
