Reports

Within your Reports section of the Synchtank Admin, you are able to run different reports related to your systems performance.

Under the reports section you have:

• Reports
• Scheduled Reports
• Data Templates

Reports

Firstly, there are two ways to access your reports, the main way is via the Reports section within the left hand side navigation, or through the catalog section (Artists, Masters, Compositions, Albums, Productions, Playlists and Contracts only). 

Within the Catalog sections as mentioned above, head to the right hand side and select the 'New Report' button. Depending on what section you are in, the system will know you want to create a report based on that and prep the option for you when you enter the next step.

Both route will take you to the Reports section ready to chose your report or if you have come from the Catalog section, the next step of preparing your report. 

Within your reports we have a number of options to choose from as seen below:

Once you have chosen the report you would like to run, the system will give you a default title but you can change this as your require. 

You then have a few more options before running your report, you can leave as is and get the full report including all fields but you can change this. You can amend the item added dates, created by, what production it is in etc. and these filters change depending on what report you are in. 

Here is an example of an albums report:

On the right of the above screenshot under 'Report Fields' will list out all the fields featured in your report, if it has a little icon that looks like the below in it, this means you can import back into the system during bulk editing. 

Once you are happy with your report it will take a few minutes (depending on your report size) to run, once it's ready, you can download it.

 

Scheduled Reports

With your Scheduled Reports section you are able to set and send email reports/notifications to run daily or weekly to update you about system performance such as user sign ups etc. 

 

Data Templates

Export Track Data the Way You Want with Data Templates

The "All Tracks" report lets you export all data for all tracks on the system. But what if you only need specific information for certain purposes? That's where data templates come in.

Benefits of data templates:

• Export only the data you need.
• Customize the data format.
• Import updated data back into the system.
• Control user access to specific data templates.
• Download data directly from playlists.

Creating a data template:

1. Head to the Synchtank Admin > Reports > Data Templates and  click ‘Create’ in the top right hand corner
2. Choose the data fields you want to include. You can select all fields or pick specific ones. Once selected you can reorder them as needed.
3. Choose how many writers to include data for.
4. Enable the Import setting if you want to import updated data back into the system.
5. Save your new data template!

 

Sharing data templates:

Admins can control who can access each data template. Just go to a user's page, select edit and choose the desired data template from the dropdown, and click Save.

 

Using data templates in Reports:

1. Go to the Reports page, select the All Tracks report, and choose a data template.
2. Filter the report and click Save to run it.
3. Download the report with the applied data template settings.

 

Bonus: Data templates in Playlists:

Enable data templates on the frontend for playlists. This adds a Download Data button. Users can choose a data template and download a spreadsheet with the specified data for the playlist's tracks.
