What is the Import Tools section?

The Import Tools section is found in the left-hand navigation of the Synchtank Admin. It provides all the methods available for adding and managing data in your system — from uploading audio files to importing metadata via spreadsheets or CWR files.

What import methods are available?

Import Tools includes three main options:

  • Audio Upload — bulk import audio files into your system (up to 100 tracks or 2GB)
  • Metadata Upload — import or update metadata via spreadsheet or CWR file, and bulk upload album images
  • Ingestion Templates — manage template files used during the data ingestion process

How do I create a single Master manually?

You can create a single master record manually from the Catalog section. For more information, refer to the Masters section in the Catalog guide.

How do I bulk upload audio files?

Go to Import Tools → Audio Upload and click the green Create button. Add a title, drag and drop your files (MP3, WAV, ADM, FLAC, AIFF — up to 100 tracks or 2GB), configure your ID3 tag settings, and click Continue to edit metadata before confirming. The upload will appear in the overview list with a status that updates as it progresses.

How do I bulk update metadata using a spreadsheet?

Go to Import Tools → Metadata Upload → + Upload Metadata File. Generate a report first from the Reports section to get a file in the correct Synchtank format — edit it in Excel and re-upload. You can remove columns you don't need, but always keep the ID column; don't add new columns or change the file structure.

Can I upload a CWR file?

Yes. Go to Import Tools → Metadata Upload → + Upload Metadata File and select CWR as the type. Upload your CWR file directly — no report needed. The system will automatically create composition records based on matching codes.

Can I bulk upload album images?

Yes. Go to Import Tools → Metadata Upload → + Upload Images. You can match albums by title, UPC, custom ID, or volume. Once submitted, the import status updates from Pending to Completed in the overview list.

What happens if my metadata import has errors?

After the import is processed, a Batch Report is generated showing which rows failed and why. You can download a review file, fix the errors, and re-upload.

Do I need special permissions to use Import Tools?

Yes. You must have the correct user permissions to access Import Tools. Contact your internal system administrator if you have questions about your permissions.
